Advice to Organisers

WDP materials are delivered to Area Distributors during October. You should receive your materials (including any ordered Calendars) before Christmas. It is important to check that you have everything you ordered, so that any mistakes can be rectified as quickly as possible. CDs (or tapes), Slide sets, Bookmarks and Notelets will be sent out at the beginning of January.

You will receive letters from the WDP Scottish Committee in September and January. Please read these letters carefully. They vary each year and contain important information. September 2011 mailing will include one copy of each of the materials for 2012. January 2012 mailing will include your Order Form for 2013, a Giro slip made payable to World Day of Prayer and Gift Aid Declaration forms (WDP is able to re-claim tax on Gift Aid donations).

Plan your service(s) early, so that you can request any extra resources in plenty of time.

Offerings should be paid into a bank with the bank giro slip provided as soon as possible after the service, alternatively you can send cheques to the treasurer, Janet Whyte. Normally, payment for materials (e.g. CDs, Calendars, etc) should have been sent, with the order form for 2012. However, any outstanding payments may be included with the offerings, if details are sent to the treasurer. As a registered charity, it is a legal requirement that offerings taken at any WDP services should be sent to the WDP. If reasonable, necessary expenses are deducted from the offering, accounts and receipts should be sent to the treasurer.

Please have Gift Aid Declaration forms available at the service. It is not necessary to have the gift aid money in envelopes; it can simply be included with the other offerings. The completed gift aid forms must be sent to the treasurer, Janet Whyte, as soon as possible after the service.

Order forms for 2013 must be returned by May 2012. Please think ahead when completing the form and try to order everything you will need. It is much more expensive to send out extra materials by post. For example:

• Invitation flyers – order enough of these to be able to distribute them as widely as possible in your area.
• Resource Books – if there are a number of Churches taking part in your service make sure you have at least one copy for each Church, as well as copies for yourself, your speaker and organist.
• Children’s Materials – check if any of the Churches in your group will be holding a Children’s Service; or can use the material at Sunday Schools.
• Shortened Service – is there a nursing home or sheltered housing, where you could offer to hold a short service? Order enough copies for the number you expect to attend. (Extra copies can be photocopied.)
• Calendars and Bookmarks – these help to remind us all to continue praying throughout the year. You could order some to be offered for sale after the service.
